Job Description: Position: Business Service Coordinator Location: Liège, Belgium Company Overview: Our upcoming company Teknihall Service Benelux(in the process of registration) is a dynamic and expanding business services provider, committed to facilitating the operations of Chinese companies in the European market. With a focus on delivering comprehensive and high-quality services, we strive to support the seamless establishment and growth of our clients' European subsidiaries. Responsibilities: - Company Registration:
- Assist companies (especially Chinese companies) in the process of registering companies in Belgium. This entails understanding the legal requisites, preparing and filing the necessary documentation, and liaising with the relevant local authorities to ensure a smooth registration procedure.
- Provide guidance to the client on the diverse types of business entities available and the implications of each choice.
- Bank Account Opening:
- Guide clients through the process of opening bank accounts for their companies in Belgium.
- Coordinate with local banks, arrange appointments, and assist in preparing the required documents and information for the account opening.
- Facilitate communication between the client and the bank to address any queries or concerns during the process.
- Tax Reporting:
- Comprehend the Belgian tax system and its requirements for foreign-owned companies/subsidiaries.
- Prepare and submit tax reports on behalf of the client's European companies/subsidiaries, ensuring compliance with local tax laws and regulations.
- Stay updated on any changes in tax policies and inform the client accordingly to assist them in making informed decisions.
- Company Secretarial Duties:
- Handle the company secretarial tasks for the client's European companies, such as maintaining corporate records, preparing meeting minutes, and ensuring compliance with local regulations regarding corporate governance.
- Coordinate and schedule board meetings and shareholder meetings, and assist in the preparation of relevant documents and agendas.
- Shared Office Arrangement:
- Source and negotiate appropriate shared office spaces for the client's companies in Liège.
- Coordinate with the office providers to finalize the lease agreements, arrange for necessary facilities and services, and ensure a seamless transition for the client into new workspace.
- Business Travel Arrangement:
- Plan and organize business trips for the representatives of the Chinese companies visiting their European subsidiaries in Belgium. This includes booking flights, accommodation, transportation, scheduling meetings and appointments, and provide travel itineraries and relevant information to the travelers to ensure a smooth and productive trip.
Requirements: - Languages:
- Fluent proficiency in Chinese and one Belgian local languages (e.g., Dutch, French, or German).
- Exceptional communication skills in both languages, both written and spoken, to effectively interact with clients(especially from China) and local partners.
- Local Knowledge:
- In-depth familiarity with local business environment, regulations, and administrative procedures in Belgium, particularly in Liège.
- Knowledge of the local banking, tax, and legal systems is highly preferable.
- Understanding of the local business culture, and networking channels.
- Experience:
- Experience in business services, company administration, or a related field is favored.
- Experience in dealing with cross-border business operations, especially between China and Belgium, would be an advantage.
- Familiarity with the process of company registration, bank account opening, tax reporting, and office management is beneficial.
- Skills and Abilities:
- Strong organizational and time management skills to handle multiple tasks and projects concurrently and meet deadlines.
- Problem-solving aptitude to address any challenges or issues that may arise during the service provision process.
- Attention to detail to ensure the accuracy and completeness of work.
- Customer-oriented mindset with the ability to provide excellent service and build good relationships with clients.
- Team player, able to work effectively with colleagues from different backgrounds and departments.
- Proficient in using computer software and tools, such as Microsoft Office Suite, for document preparation, reporting, and communication.
